Please complete and submit the form below to apply as a vendor for the 2018 Movies in the Park season. Once your application and COI have been received, we will process your application for approval. Please forward all questions to maggie.mace@lynchburgva.gov.

EVENT POLICIES:

FEE: Food vendors will be charges $50 per event and dessert/drink vendors will be charged $30 per event. Fees may be paid in cash or check by the end of the event, before leaving. Checks should be written to: The City of Lynchburg.

LATE PAYMENTS: Late payments will not be accepted. Should you miss a payment, you will be removed from the Movies in the Park schedule moving forward until your payment is received.

SCHEDULE REQUESTS: Schedule requests for each month will be sent three weeks in advance through email. The request will take place through an online form. Should you have issues with this form, please contact the event coordinator. Vendors will have five days to submit their schedule request for consideration.

SCHEDULING: The Movies in the Park schedule will be released by April 15, 2018. 

SCHEDULE WAIT LIST: Vendors that are not scheduled for a particular Movie may request to be added to a wait list. This wait list will be used in the case of no-shows or vendor emergencies causing vacancies. This list will be formed on a first-come, first-served basis based on the timestamp from each vendor’s original request. Wait list vendors may be contacted as late as 3pm on any particular Movie in the Park date. The fee to attend will be reduced to $50.00 for wait list vendors.

DAY OF ARRIVAL: Vendors will be expected to arrive by 6pm and to stay through the end of the event. No vendors will be allowed early access or self- admittance to the event area.

LINE-UP: There is no line-up for Movie in the Park events.

INCLEMENT WEATHER: Incase of inclement weather, Movies may be rescheduled. 

EMERGENCIES: Vendors may also be absent from an event due to truck/trailer or family or employee emergencies/sicknesses. No penalty will be assessed as long as this is communicated by phone, email, and text before 3pm. In this case, a wait list vendor will be contacted.

NO-SHOWS: Should a vendor fail to show up on their schedule dates without notice, Lynchburg Parks and Recreation reserved the right to remove the vendor from the schedule for the rest of the season.

LIABILITY & PUBLIC USE AGREEMENT:

Lynchburg Parks & Recreation will not be held responsible for any damage or loss. Lynchburg Parks & Recreation has the right to use images of any artwork submitted for display to help promote the event. Artist accreditation will be given when possible, but Lynchburg Parks & Recreation is not responsible for omissions in any publication.
